Media cooperation policy
- The Venus Academy – 2026 edition
§1. Purpose of the document
This Policy defines the principles of cooperation with traditional and electronic media in connection with the implementation of the Venus Academy 2026 project, including the Quality Awards of the Venus Gala, the publication of the Venus Album, and information and promotional activities organized by the Venus Academy.
§2. Nature and ethos of the project
The Venus Academy is an independent, expert-driven industry project promoting the highest standards of quality, ethics, and knowledge in the field of aesthetic medicine and anti-aging.
The project has a community-oriented and media character, and cooperation with the media aims to support:
• promotion of nominees and laureates of the Venus Academy,
• industry education and dissemination of good practices,
• integration of the professional community and building the prestige of Polish aesthetic medicine on the international stage.
§3. Principles of cooperation with the media
The Organizer provides selected media partners and journalists with information, photographs, interviews, and press materials concerning the Venus Award, the Venus Gala, and the participants of the project.
Media interested in patronage, cooperation, or coverage of the event are required to contact the Organizer and obtain consent for the use of materials protected by copyright or the project’s know-how.
The official names permitted for use in media communication are:
• “The Venus Academy” (name of the institution),
• “Quality Awards” (full name of the distinction),
• “The Venus Gala” (short media brand),
• “Venus Statuette” (symbol of the award).
§4. Rules for sharing press materials
The Organizer reserves that:
• all press materials and photographs may be used solely for the promotion of the project and its participants,
• content and graphics may not be altered or used in a manner that violates the ethos of the project or misleads the audience,
• confidential information (e.g. the list of laureates prior to the Gala) is subject to a confidentiality clause until officially announced.
All publications should include the following source attribution:
“materials of the Venus Academy / www.galawenus.pl”
§5. Media patronage
The Organizer grants the title of Media Patron of the Venus Academy to selected editorial teams that:
• support the project with publications before and after the event,
• share information about the opening of submissions and nominations,
• declare the participation of a representative of the editorial team in the Venus Gala.
The media patron receives:
• logo exposure on the website, invitations, and promotional materials,
• the possibility to publish coverage of the Gala using official photographs and materials,
• 1–2 invitations for the editorial team to attend the Venus Gala.
§6. Protection of know-how
The concept of the project, category structure, communication tools, and media framework constitute protected know-how of the Organizer.
Reproduction, copying, or use of elements of visual identification, names, graphics, and descriptions without the Organizer’s written consent is prohibited.
§7. Obligations of the Media Patron of the Venus Academy
Promotion of the event and the project
• Publication of at least one media announcement (article, press release, or mention) prior to the Venus Gala 2026 event.
• Publication of information about the opening of submissions or the nomination process for the Quality Awards.
• Promotion of the project through online or offline channels (website, social media, industry magazine, newsletter).
Deadlines for fulfilling obligations
• The media announcement related to the Venus Gala should be published no later than 14 days (2 weeks) before the event.
• Publication of information about nominations should take place within 7 days of receiving the official press pack.
• Coverage of the Venus Gala should be published within 21 days after the event (if the patron has committed to its preparation).
Form of providing press materials
• The Organizer provides the media patron with press materials in electronic form: photographs, informational texts, logos, official project descriptions, prepared expert quotes, or excerpts from the Venus Album 2026.
• Materials are provided in the form of a press pack sent by email or via a downloadable link.
• The media patron may use only materials approved by the Organizer and undertakes not to modify their content without consent.
Editorial cooperation
• The media patron ensures the possibility of publishing content provided by the Organizer or materials prepared by the editorial team in accordance with the ethos of the project.
• The patron, where possible, supports publications presenting nominees, laureates, and the ideas of the project.
Logo and attribution
• The media patron places the logo of the Venus Academy or the Venus Gala in a visible location on the patronage page or in the industry events section.
Image-related rules and confidentiality
• Publications containing confidential information (e.g. names of laureates not yet announced) require prior approval of the Organizer.
• The media patron publishes information reliably and neutrally, without violating the good name of project participants or the ethos of the Venus Academy.
Coverage of the Venus Gala
• Where possible, the patron prepares coverage, a report, interviews, or multimedia material from the Venus Gala 2026.
• The patron may use both its own materials and official materials provided by the Organizer.
Operational contact
• The media patron appoints a person responsible for operational contact on the editorial side.
• The Organizer appoints a media cooperation coordinator responsible for providing materials, accreditations, and communication support.
Contact details of both parties should be provided by email no later than 14 days from the start of cooperation.
§8. GDPR and personal data processing clause
The controller of personal data of media patrons is Pharma Medical House sp. z o.o., with its registered office in Warsaw.
Data are processed for the purpose of carrying out media cooperation, operational contact, providing promotional materials, and organizing the participation of media representatives in the Venus Gala.
The legal basis for data processing is Article 6(1)(b) and Article 6(1)(f) of the GDPR.

§8a. Patronage agreement
An individual barter agreement will be concluded between the Organizer and each Media Patron, specifying the detailed obligations of both parties.
